Tasks & Task Manager


Tasks is your home base for reminders, to-dos, and longer-running work that you want to track yourself or have Espa handle for you.

Tasks can include:

  • reminders for today, tomorrow, or any future date
  • recurring tasks
  • follow-ups and personal to-dos
  • longer projects, such as:
    • compiling briefing documents
    • researching restaurants and date night ideas

Tasks works across your setup as a central task manager, independent of any one platform, and pulling from all of your productivity integrations. It can help you manage work coming from your personal email, work accounts, and connected integrations.


Using Tasks with Espa

Tasks is designed to help you manage both simple reminders and more involved work.

You can use it for your own task tracking, or assign work to Espa when you want help with planning, research, scheduling, or follow-up.

For example, a task might remind you to call someone tomorrow, or it might ask Espa to research restaurant options or help coordinate an appointment.

As your tasks change, you can return to the Tasks page at any time to review progress, update details, and keep everything organized.


Open Tasks

You can open Tasks in either of these places:

  • select the Tasks icon from your home screen
  • open the hamburger menu on the left side of the screen and select Tasks

How tasks are organized

Tasks are sorted into three time-bound categories:

  • Today
  • Outstanding
  • Previous

Today

The Today section shows tasks and reminders that need attention today, whether they are assigned to you or to Espa.


Outstanding

The Outstanding section includes all future tasks that are still open but not yet completed.

Within Outstanding, you'll see categories such as:

  • This week
  • Someday
  • Anytime

These categories help organize future work based on urgency and timing.

Tasks in Anytime are tasks that do not yet have a firm due date or a scheduled time on your calendar.


Previous

The Previous section shows tasks and reminders that have already been completed.

Task details and status

Each task includes indicators that help you quickly understand its status.

Depending on the task, you may see:

  • a completion checkmark for tasks that have been finished
  • an 'X' indicator showing a task was not completed
  • a recurring icon for repeating tasks
  • the Espa logo indicating that the task will be completed by Espa
  • the due date and scheduled time, if one has been set

Edit a task

Select any task to open it and view more detail.

From there, you can review or update task information, including the timing, status, and any details needed to complete it.
